Terms of Service

1. The agreement

These terms are a contract between you and Doc Plan (“we”, “us”, “our”) covering your use of the Doc Plan service: the web application, marketing site and everything provided through them (together, the “service”).

By creating an account or using the service you agree to these terms and to our Privacy Policy. If you don't agree, please don't use the service.

2. The service

Doc Plan is a workspace for Coordinators: it helps you manage referrals, invitations, meetings, documents, time logs and related records.

Doc Plan is a productivity tool. It does not provide legal, social-work or safeguarding advice, and it does not replace your organisation's own policies, record-keeping obligations or professional judgement.

Doc Plan is an independent product. We are not affiliated with, endorsed by or sponsored by any Family Group Conference (FGC) organisation or body. References to Family Group Conferences describe the kind of work our users do; all trademarks and service marks remain the property of their respective owners.

3. Your account

  • You must provide accurate account information and keep your sign-in credentials secure. You are responsible for all activity that happens under your account.
  • Accounts are for individual use. Don't share your account or credentials with others.
  • You must be at least 18 and using the service in a professional capacity.
  • Tell us straight away at the contact address below if you suspect unauthorised access to your account.

4. Subscriptions & billing

  • Free trial: new accounts get a 7-day free trial with full access. A payment method is required to start the trial.
  • Price: after the trial, the subscription is £19.99 per month, billed monthly in advance. Prices include any applicable VAT unless stated otherwise at checkout.
  • Payment: billing is handled securely by Stripe, our payment provider. We do not store card details on our servers.
  • Failed payments: if a renewal payment fails, Stripe will retry it. If payment continues to fail, your subscription may lapse and your account becomes read-only (see section 5).
  • Price changes: we may change the subscription price with at least 30 days' notice by email or through the in-app Updates feed. Changes take effect from your next billing period after the notice.

5. Cancellation & refunds

  • Cancel any time: there is no contract or minimum term. You can cancel from Settings → Manage subscription, and you will not be billed again.
  • During the trial: cancel at any point before the 7-day trial ends and you will not be charged anything.
  • After you cancel: you keep full access until the end of the billing period you have already paid for. After that, your account becomes read-only: you can still view your data, but you can't edit or export it until you resubscribe. Your data is not deleted.
  • Refunds: payments already made are generally non-refundable, as you can cancel before any charge is taken. If something has gone wrong, for example you were charged in error or a fault on our side stopped you using the service, contact us and we'll put it right, including a refund where appropriate. Nothing in this section affects your statutory rights under UK consumer law.

6. Your content & responsibilities

The referral and family information you record in Doc Plan (“your content”) belongs to you or the organisation you work with, not to us. We only process it to provide the service, as described in our Privacy Policy.

  • You are responsible for having a lawful basis to record the personal data you enter, in line with UK GDPR and your own organisation's policies.
  • You are responsible for the accuracy of your content and for complying with any professional or contractual record-keeping obligations that apply to your work.
  • We recommend exporting or backing up important records (worksheet CSV export is built in), especially before closing your account.

7. Acceptable use

You agree not to:

  • Use the service for anything unlawful, or upload content you have no right to hold or share.
  • Attempt to access other users' data, probe or circumvent our security measures, or interfere with the operation of the service.
  • Resell, sublicense or provide the service to third parties, or copy substantial parts of it to build a competing product.
  • Use automated tools to scrape the service or place unreasonable load on it.

We may suspend or terminate accounts that breach these rules (see section 11).

8. Availability & changes to the service

  • We work hard to keep Doc Plan available and reliable, but we don't guarantee uninterrupted or error-free operation. Maintenance, updates or events outside our control may cause occasional downtime.
  • We improve the service continually and may add, change or remove features. If we make a change that materially reduces the core service you pay for, we'll tell you in advance and you can cancel before it takes effect.

9. Intellectual property

We own the service: the software, design, branding and everything in it except your content. We grant you a personal, non-transferable licence to use the service for as long as you have an active account and comply with these terms. Document templates provided through the service may be used within your FGC work but not redistributed as templates in their own right.

10. Liability

Nothing in these terms excludes or limits liability that cannot be excluded under law, including for death or personal injury caused by negligence, or for fraud.

  • The service is provided “as is”. To the extent permitted by law, we exclude implied warranties and are not liable for indirect or consequential losses, loss of profits, or loss of data caused by events outside our reasonable control.
  • Our total liability to you arising out of the service in any 12-month period is limited to the amount you paid us in that period.
  • You remain responsible for professional decisions made in your FGC work; Doc Plan is a record-keeping tool, not a source of advice.

11. Ending the agreement

  • By you: cancel your subscription at any time (section 5), or ask us to close your account entirely, in which case your data is deleted as described in the Privacy Policy.
  • By us: we may suspend or terminate your account if you seriously or repeatedly breach these terms, if required by law, or if we discontinue the service. Unless the termination is for breach, we'll give you reasonable notice and a chance to export your data, and refund any pre-paid period we don't deliver.

12. Changes to these terms

We may update these terms from time to time. If we make material changes we'll update the date at the top of this page and notify you through the in-app Updates feed or by email before they take effect. Continuing to use the service after the changes take effect means you accept the updated terms; if you don't, you can cancel your subscription.

13. Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction over any dispute, although if you are a consumer you may also rely on the mandatory protections of the country you live in.
